Oct 04, 2017 Just create a new user (within the Client Domain) as a 'Global Administrator', but DON'T assign an Office 365 License. You can then use this account to logon to the O365 Admin Portal for the purposes of maintaining users and such like. If you want to be able to send and receive Emails using that account, you will need to consume an O365 license. We are having trouble with our users receiving a message when opening a desktop Office 365 APP. It puts a banner across the top stating the user is not not licensed. Continue using mobile website. Most of the time we just need to log into O365, open the Online App, and Open the desktop from there to establish the license again. The Office Home & Student license does not come with Outlook. If you would like to use Outlook, you can switch to a different Microsoft 365 home subscription.

Cause

This issue occurs because a previously activated version of Office Mobile exists on the device, possibly from another subscription. Therefore, the new Office Professional Plus license cannot be applied.

Solution

To resolve this issue, follow these steps:

  1. Verify that you have a license assigned to youin the Office 365 portal. To do this, follow these steps:

    If you cannot sign in or do not see the Settings button, then you may not have administrative permissions or may not have a license assigned to you.

    1. Sign in to the Office 365 portal.

    2. In the left pane, select Subscriptions.

    3. In the list of subscriptions and licenses, scroll down to the Office 365 section, and then look for The latest desktop version of Office. If you see this entry in the list, you have an Office subscription that's assigned correctly.

      Note

      If you don't see a vertical scroll bar, hover the pointer over the list, press and hold the left mouse button, and then scroll.

    4. If an entry for The latest desktop version of Office does not appear in the list, contact your administrator or go to the following website:

Each and every user is able to read and send emails depending upon the permission provided by the Admin. We can also say that a shared mailbox is a centralized service that allows multiple uses to work in a synchronized manner. Assigned users can access these shared mailboxes in their Outlook application. However, some users face issues while accessing a shared mailbox is MS Outlook application. Therefore, in this blog, we will be presenting the solutions for the common issue faced by many uses, that is 'Office 365 Shared Mailbox not showing in Outlook application (desktop)'.

To solve this query we have come up with 3 workarounds, such as:

Workaround #1: Adding Additional Shared Mailbox in Desktop Outlook

Office 365 Business License

Generally, the shared mailbox should automatically come up when a user configures its account in Outlook. If it's coming in an Online web App but not visible in Outlook desktop App, then this would probably due to server-level problems. Otherwise, the Outlook will give you an error message ‘the folder you selected is not available'. So, to solve such issues, users can manually add an additional mailbox to their account. Follow the below procedure:

1. Open the Desktop Outlook Application, and go to File tab >> Account Settings >> Account Settings…

2. Now, select your Office 365 account profile and then click on the Change button.

3. From Change Account window, click on 'More Settings' button

4. Now, go to the 'Advanced' tab, and click on the Add button.

5. Enter the name or address of shared mailbox and click OK.

After configuration, a shared mailbox will automatically visible in the left pane of Outlook. (if you have full rights of this shared mailbox)

Note: In some cases, its found that even after configuring, still Office 365 shared mailbox not showing in Outlook desktop application. If its shared mailbox is not visible to you, then try the workaround 2.

Workaround #2: Troubleshooting Shared Mailbox Synchronization in Desktop Outlook

There are wide range of technical issue that a shared mailbox might suffer from. If there is a problem with synchronization of shared mailbox then try to disconnect and reconnect the Shared Mailbox in desktop Outlook. Following are the quick steps to disconnect and then connect back the shared mailbox to your Outlook profile:

1. First, completely close the MS Outlook application.

2. Then, Go to Start >> Control Panel >> Click on Mail option.

3. From the mail setup pop-up window, click on Email accounts.

4. Now, choose your Office 365 account and then click on Change button.

5. Next click on 'More Settings'.

6. Go to Advanced tab and then click on Remove button.

Close and reopen the Outlook again and reconnect the shared mailbox by following the procedure in Workaround 1.

Alert: In case the problem still persists, you can perform the following steps for manually troubleshooting the Outlook application:

Workaround #3: Migrate Shared Mailbox from Office 365 to Outlook

The above two workarounds should be able to solve your problem. If you are still Office 365 shared mailbox not visible in Outlook then, its a possibility that shared mailbox migration got failed due to some unknown error. In this case, you can take the help of a professional tool to export the shared mailbox and import it into your Outlook application.

With the help of the SysTools Office 365 Export Tool, you can easily export Office 365 shared mailbox to PST and then, import the PST file into Outlook application.
